Case study

Client delivery and engineering on one dashboard

PPS Consulting India connected a company's Monday.com boards, where client delivery is managed, with its Jira projects, where engineering runs in sprints, and built one dashboard across both with the client's own project management team. Status, sprint, owner, due date and blockers flow between the tools, so nobody re-keys anything and a change on either side shows on the dashboard.

What was the problem?

Delivery tracked each client's work in Monday.com and engineering ran its sprints in Jira, with no single view across the two.

What did we do?

  1. Design

The fields both teams need, agreed with the client's project management team: status, sprint, owner, due date and blocker.

  2. Build

A two-way integration between the Monday.com boards and the Jira projects, and one dashboard on top: delivery by client, engineering sprint status, blockers listed oldest first, and a weekly summary of on-time delivery, open blockers, items in review and handoff waiting time.

The method, phase by phase

What did we build?

Monday.com and Jira: one dashboard across delivery and engineering Illustrative schematic, not a client document

Monday.com boards: delivery by client

Jira projects: engineering sprints

No re-keying: a change on either side shows on the dashboard within minutes.

The dashboard

  • Delivery by client
  • Engineering sprint status: done, in progress, to do
  • Blockers, oldest first

This week, at a glance

  • Delivered on time
  • Open blockers
  • Items in review
  • Average wait at handoff

What changed?

  • One dashboard across client delivery and engineering.
  • No re-keying: a change on either side shows on the dashboard.
  • Blockers visible to both teams, oldest first.
  • Built with the client's own project managers, and a five-star client review on Upwork.

Is this relevant to you?

It is if:

  • Two teams use two tools, and someone reconciles them by hand every week.
  • You find out a client deadline is at risk after the client does.

Where would we start with you?

With the PPS Backbone Review: four weeks, a fixed fee of ₹1,50,000 to ₹3,50,000 plus GST and expenses, one fix working by the end, and a plan with owners and measures that is yours to keep, whether or not we build it with you.

How the Review works

5x locations, 7x fleet

from one pharmacy and location to two pharmacies and five locations in four months, and from 3 drivers to 20+

Medical delivery startup: one location to five in four months

Relevant if you are about to open your second, third or fifth location, and the first one still runs on you.

Runs without the founder

SOPs for the recurring work, one workspace, and a weekly rhythm the operations lead now runs

Marketing operations team: running without the founder

Relevant if every client question in your business still reaches the founder.

Questions about this case

Can Monday.com and Jira be integrated?

Yes. Here the two were connected both ways on the fields both teams need, so each team keeps working in its own tool and the dashboard shows both.

Should we move everyone onto one tool instead?

Sometimes, but it is the harder change. When each team's tool fits its work, connecting the two on a few shared fields gets you one view without a migration.
