Hospitality business: weekly events and tip payouts, run by system

What was the problem?

The business ran on several tools (Eventbrite, WeTravel, Cloudbeds, Sling and Asana) that weren't connected or set up to work together.

Tips and minimum wage were reconciled by hand, which was prone to errors, delays and disputes. Enquiries, follow-ups and lost-and-found requests were handled inconsistently, and with events every week there was no repeatable way to run them.

What did we do?

  1. Design

    A customer workflow from the first enquiry and booking to event-day support and follow-ups afterwards, including pending credits and lost-and-found.

  2. Build

    One back-office process across WeTravel, Cloudbeds and Eventbrite that keeps reservations current, tracks changes, cancellations and special requests, and sends on-ground staff a report before each event. Shift planning in Sling with check-in reminders, and Asana workflows for before, during and after each event. A formula-driven tip calculator covering roles, hours, base wages, cash and Venmo tips, the tip share across front of house, back of house and kitchen, and agreed minimum wage thresholds, which flags duplicates, inconsistencies and missing data.

  3. Adopt

    Standard operating procedures (SOPs) for every revised process, training for the owners and part-time team leads, and features already in its tools put to use.
