Genetic testing startup: a Project Management Office (PMO) for 30+ projects

PPS Consulting India set up a Project Management Office (PMO) from scratch for a venture-backed genetic testing startup in the US, bringing 30+ projects and five project managers onto one plan and one weekly cadence. Leadership and the investors got one view of what was on track, what was at risk and why, and which decisions were waiting on them.

What was the problem?

The startup was running more projects than it could see. There was no central project management and no agreed way to prioritise, so leadership struggled to see which initiatives were moving and to work across functions.

As a genetic testing business it also carried compliance risk under HIPAA, the US health privacy law, and medical regulations.

What did we do?

  1. Design

    A prioritisation framework for deciding which projects go ahead, a governance framework with escalation rules, and one plan template with the same milestones for every project.

  2. Build

    The PMO itself: five project managers on a shared plan, status in red, amber or green with a written reason, risks and dependencies in one register, a decision log with owner and date, and every change request routed through the PMO. Compliance tracking for HIPAA and medical regulations sat in the same system.

  3. Adopt

    A weekly rhythm: a 20-minute stand-up with all five project managers on Monday, dependencies and risks midweek, a one-page leadership status on Friday, and a monthly re-plan against capacity. A reporting model for the leadership team and the investors: milestones due in the next 30 days, projects at risk and why, and decisions waiting on leadership.
