What was the problem?

Every new lead in HubSpot set off a chain of manual steps: a rep copied the details, created a ClickUp task by hand, updated a Google Sheet by hand, and followed up from memory.

Delays, duplicates and missed follow-ups lived in those steps. First follow-ups could take days, and slow follow-ups cost deals.

What did we do?

  1. Design

    The lead flow redesigned so that people work the lead and the systems keep each other in step.

  2. Build

    A Zapier trigger on every new HubSpot lead that creates the ClickUp task and assigns it to the right rep, adds the row to the tracking sheet and keeps its status in sync, and schedules the follow-up reminders.

Is Zapier enough, or do we need a custom integration?

For a flow like this, Zapier is enough: one trigger in HubSpot creates, assigns and tracks everything downstream. A custom integration makes sense when volumes or logic outgrow it, and that decision comes after the process is stable.
